Pharmacy Senior Personal Assistant
Band: 5 (£27,055 - £32,934)
Hours: 37.5, permanent
This role will provide excellent support to key members of the Pharmacy Senior Leadership Team. This includes the Chief Pharmacist, Associate Chief Pharmacist, Deputy Chief Pharmacist-Clinical Services, Deputy Chief Pharmacist-Strategy and Business, Deputy Chief Pharmacist-Medicines Optimisation, Chief Pharmacy Technician and General Manager.
Post holder will be responsible for the smooth and efficient management of diaries as well as supporting critical programmes of work. You will be able to work without supervision and know the business of the team acting as a first point of contact for the service.
The post holder also needs to provide cover for the management and coordination of the Pharmacy administration team, in the event of the Admin Manager being absent, to ensure continuity of service and to provide operational support, and allocation of workload if required.
Main duties of the job
As a Senior Personal Assistant for Pharmacy your core role will be to support the Chief Pharmacist and Associate Chief Pharmacist in all elements of their Trust and system-wide remit, which will include work outside the Pharmacy department. The post holder will also support the wider Pharmacy Leadership Team members.
You will work closely with all member of the Pharmacy Leadership Team, alongside our Service Managers and the wider Admin Team, providing cross cover management support in the absence of the Admin Manager.

- Take line management responsibility for the administrative and clerical team in the absence of the Admin Manager, supporting with work load allocation and supporting service delivery and quality
- Ensure appropriate systems are in place to communicate, implement and monitor the application of all Human Resources/Organisational Development Policies and Procedures within the administration and clerical service for the department. Including, but not limited to, management of sickness for the Pharmacy Leadership Team.
- You will monitor and maintain pharmacy data on the appraisal database for the CMG, and upload data onto ESR to ensure that appraisal dates are recorded and increment awards are processed within time schedules.
- Support training of administrative staff as and when required.
- Support the Pharmacy Leadership Team with recruitment as and when required in line with Trust policies and procedures.
- Contribute to the departments annual training and workforce plan, and ensure the availability of training opportunities.
- Post holder must be able to effectively communicate to build proactive teams and relationships.
